Investor Settlement and Handover Checklist

Settlement is a coordinated deadline, not just the day keys change hands. Prepare the property, people, documents and contingency steps in advance.

Review status: dates come from the live transaction

The timeline is a coordination tool. The contract, lender, conveyancer and settlement platform determine the actual dates and responsibilities.

  • Record the source and review date beside every transaction-specific input.

Settlement preparation begins before settlement week.

This investor settlement and handover checklist resource is an educational framework for recording evidence and preparing questions. It does not recommend a property or replace financial, credit, legal, tax, building or other advice for your circumstances.

BEFORE SETTLEMENT

Reconfirm finance, funds, legal adjustments, insurance and inspection arrangements.

AT HANDOVER

Record keys, condition, defects, manuals, access devices and outstanding actions.

AFTER SETTLEMENT

Secure documents, activate management and monitor the first ownership tasks.

Control the final transition to ownership

Reconfirm finance and legal readiness

Work with the lender or adviser and conveyancer to confirm conditions, contribution amounts, transfer documents, settlement timing and adjustments. Do not assume an earlier approval remains unconditional.

  • Confirm final funds and transfer arrangements securely.
  • Check lender conditions and required insurance.
  • Review settlement adjustments and unresolved contract items.
  • Keep fraud-aware procedures for payment instructions.

Complete the pre-settlement inspection

Use the contract and prior records to check condition, inclusions and agreed work. For new property, understand the defects process and distinguish inspection notes from contractual rights.

  • Arrange access within the permitted timeframe.
  • Bring plans, inclusions and agreed defect records.
  • Photograph and document material concerns.
  • Escalate issues promptly through the appropriate professional.

Plan the handover details

Clarify when and where keys, fobs, remotes, manuals, warranties and access information will be provided. Record quantities and any missing items rather than relying on memory.

  • List every access device and key set.
  • Collect appliance, system and warranty information.
  • Record meter or service information where appropriate.
  • Confirm contacts for defects, strata and emergencies.

Activate ownership and tenancy preparation

Confirm insurance, property management, utilities, safety or compliance tasks, cleaning, defects and advertising readiness. Store the contract, settlement statement, reports, invoices and communications for future reference.

  • Provide authorised documents to the property manager.
  • Set repair and approval protocols.
  • Create a secure ownership record folder.
  • Schedule early maintenance and review dates.

Investor Settlement and Handover Checklist: questions to resolve

Is a pre-settlement inspection optional?

Rights and procedures depend on the contract and jurisdiction. Ask the conveyancer what applies and arrange it properly.

When should landlord insurance begin?

Discuss timing with the insurer and legal adviser so there is no unintended gap in cover.

Who handles defects in a new property?

The contract, applicable law and warranty processes matter. Document issues and obtain advice on the required procedure and deadlines.
